Submissions delivered by post must arrive NO LATER THAN November 7th, 2008.
Submissions delivered in person will ONLY be received on November 10th and 11th, 2008.

All entries are subject to the determinations of the Jury. The Jury has absolute discretion in interpretation
of rules and quality of work.
1. All entries must be original, and completed by living artists in the last two years.
Exceptions:
a. Reference material no longer under copyright: Any portrayal of historical figures, places or
things using as a reference another artist’s painting or photo, can be accepted if proper credit
is given to the original artist, but cannot compete for an award.
b. Reference material under copyright: A copy of the written permission from the copyright
holder must be attached to the entry form.
2. The following show standards will apply:
a. Image size not to exceed 80 square inches (for example, 8 by 10 inches.)
b. Frames – maximum size not to exceed 224 square inches (for example, 14 by 16 inches.)
Frame depth, including hanging hardware may not exceed 2 inches. Frames should be consistent
with fine art work, and will be considered part of the artwork and be juried for acceptance into the
show. Unframed canvas is required to be gallery wrapped and painted.
c. Each framed entry must be ready to hang with traditional hanging wires installed, or with
single point hardware, such as a single screw eye or a “D” Ring on the back top center of the
frame. Saw tooth hangars are not acceptable. Velcro pads will be affixed during the hanging
process to the center bottom of the back of each piece in order to maintain the works level.
d. Sculpture may not exceed 8” T x 8” W x 6” D and MUST BE EASILY WALL-MOUNTED.
Each sculpture must be individually boxed. Individually boxed sculptures should then be
combined into one box.
e. All work must be original (hand pulled by the artist.)
f. Jewelry, crafts, functional work or computer techniques will NOT be accepted.
3. No more than one “ Not For Sale” (NFS) per artist. Work listed as NFS will not compete for awards.
4. Price work in increments of $5.00 with a maximum price of $450. Remember to consider the 15%
commission for sales.
LIABILITY:
All entries submitted in accordance with this prospectus will receive the utmost care in handling and
security precautions. However, no responsibility will be assumed by the Society or its hosts, Sindoor, Inc.
and Dr. Java Coffee Company, for loss or damage to works while in transit or in their custody in
connection with or during the Show. It is understood that the sending of work in response to this prospectus
constitutes an agreement on the part of the sender to ALL conditions set forth in this prospectus.
PACKING: (Applies only to entries submitted by post.)
Wrap each work in a padded envelope or bubble wrap secured with rubber bands or string - NOT TAPE.
No Styrofoam peanuts. Pack securely in a sturdy carton strong enough for return mailing. No wooden
crates with the exception of sculpture. Each sculpture must be individually boxed and labeled with title and
artist’s name. Individually boxed sculptures may be combined into one large box. You must include a
postage paid return label to cover return shipping fees. We highly suggest purchasing insurance to cover
any mishaps that may occur in transit. Handling and repackaging costs are included in the higher entry fee
for items delivered by post.
ACKNOWLEDGMENT OF DELIVERY: (Applies only to entries submitted by post)
To receive this service, please enclose a stamped self-addressed post card. You may also enclose a request
to be contacted by email or telephone.
IMPORTANT - RECEIVING: (Applied only to entries submitted by post)
Please include a PRE-PAID, SELF-ADDRESSED RETURN LABEL with work.
Entry form, entry fee and biography must be enclosed with the artwork and sent to the appropriate address
below.
JURYING PROCESS:
Entries will be juried down to between 120 and 200 accepted works by a single juror who is an
internationally acclaimed artist.
JUDGING:
Each entry judged for a number of awards, to include Best of Show, Second Place, Third Place, People’s
Choice, and Honorable Mentions. Works listed as Not For Sale will not be judged for prizes.
NOTIFICATION OF ACCEPTANCE:
Formal letters of acceptance will be provided upon request. Artwork of artists with no works accepted will
be returned to artists promptly after jurying is completed.
RETURN OF WORKS:
Items Delivered by Hand: Work hand delivered and juried out must be picked up on the November 14th
by 5 P.M. or face a $2 per day storage fee. Works accepted by the jury, but not sold, must be picked up on
December 3rd or face a $2 per day storage fee.
Items Delivered by Post: Works delivered by post and juried out will be returned to the artist postmarked
by December 3rd. Works accepted by the jury, but not sold, will be returned to the artist postmarked by
December 15th, 2008. All works will be returned in the same packaging they are received by means
prepaid for by the artist.

*Additional $10 covers repacking and handling of items delivered by post only. Artists must include a
self-addressed, prepaid return shipping label with their entry.

While an RSVP is NOT required, out of respect we request that artists provide us with their intentions prior
to October 31st by emailing Kira Zielinski at: kira@drjava.com.
ADVICE OF PARTICIPANT IN THIS SHOW:
Artists are encouraged to attend the Show, particularly over the Opening Reception on Saturday, November
15th from 4-9pm. This is an incredibly effective way for collectors to become acquainted with the artists.
